Job Summary:

Arrowroot Capital, a growing Private Equity firm in Miami, is looking to add an Executive/Personal Assistant to support the Managing Partner of the firm. 

The ideal candidate will be polished, professional, have a positive, upbeat attitude and have previous experience working as the right hand to a senior executive, in a similar type of office (private equity/venture capital/financial services).  The ideal candidate will also have experience operationally managing an office.

The office is a fast-paced work environment; we are looking for someone who is confident, able to work independently, and be an incredible, proactive team player. 

 

Responsibilities:

  • Manage and coordinate complex calendars, including scheduling meetings, appointments, and conference calls, ensuring efficient use of time and resolving scheduling conflicts.
  • Arrange domestic and international travel itineraries, including flights, accommodations, transportation, and visas, while considering preferences and optimizing travel efficiency; includes personal and family members.
  • Prepare meeting agendas, materials, and presentations in advance, ensuring the Partner is well-prepared for all engagements, and follow up on action items and decisions as necessary.
  • Manage and organize confidential documents, contracts, and correspondence, maintaining accurate records and ensuring compliance with company policies and procedures.
  • Build and maintain positive relationships with key stakeholders, including investors, portfolio company executives, and industry contacts, representing the Partner and the firm with professionalism and integrity.
  • Process expense reports and reconcile credit card statements in a timely manner, tracking expenses and ensuring compliance with company expense policies.
  • Provide support on ad hoc projects and initiatives as assigned by the Partner, including research, analysis, and presentations, contributing to the overall success of the firm.
  • Manage office supplies inventory, ordering supplies as needed, and ensuring proper stocking levels are maintained.
  • Oversee office maintenance and repairs, liaising with building management and vendors to address any issues promptly.
  • Coordinate with external vendors and service providers, including cleaning services, IT support, and catering, to ensure seamless operations.
  • Assist with planning and organizing company events, meetings, and conferences, including venue selection, catering arrangements, and logistical support.
  • Assist in implementing and enforcing office policies and procedures, ensuring compliance with company standards and regulations.
  • Handle personal errands and tasks for the Partner, such as managing appointments, coordinating household services, and running errands as needed.
  • Provide support to the Partner's family members, including scheduling appointments, coordinating family events, and managing household logistics.
  • Assist with personal travel arrangements for the Partner and family members, including vacation planning, hotel reservations, and leisure activities.
  • Coordinate various aspects of the Partner's personal life, such as coordinating entertainment, dining reservations, and recreational activities.
  • Maintain strict confidentiality and discretion regarding the Partner's personal affairs, ensuring sensitive information is handled with the utmost care and professionalism.
 

Additional Duties:

  • Function as gatekeeper for the Managing Partner.
  • Create, format and distribute print materials.
  • Plan and organize special events; personally and professionally.
  • Provide any additional administrative support as necessary.
  • Must be available on weekends, if needed.
 

Qualifications:

  • 8+ years of experience supporting high level executives.
  • Impeccable professionalism and experience working with high touch individuals.
  • Experience managing complex calendars, schedules and travel.
  • Bachelor’s degree preferred.
  • Excellent communication and professional skills as well as time management and prioritization skills.
